Hello,
Since January 1, 2019 and the entry into force of the new legal provisions of the Insured Vehicles File (FVA), we have been managing all fleet movements (entries and exits) on a daily basis that you declare to us on a day-to-day basis, in accordance with the legal obligation for you to notify these changes in real time.
However, despite this constant monitoring, it seems useful to us, a few weeks before the renewal of your Automobile Fleet insurance program, to reconcile and check the fleet identified in your databases and ours. This check-in work will thus make it possible to prepare and anticipate the printing and sending work of your 2021 green cards and to deal with any oversights, even if they should be marginal.
To this end, we invite you to send us, as of this day and at the latest on 16/11/2020, on the dedicated mailbox [email protected], a state of the park stopped on the day of your sending. We insist on the fact that the park to be declared to us must be the one in force on the day of your return. Vehicles leaving before this date or which have not yet been delivered on the same date should not therefore be included in your shipment. For the latter, as for vehicles delivered or taken out after the date of dispatch of your fleet, fleet movements will be processed on a day-to-day basis according to your daily movement declarations and this until the launch of the edition of your 2021 green cards.
If you do not receive an up-to-date inventory statement from you, we will issue your 2021 insurance certificates on the basis of the information in our possession and communicated during the year 2020.
As a reminder, your fleet statement must be sent to us via an Excel file and will include at least, for each vehicle, the information below:
- registration or, for vehicles, serial number
- Mark
- model
- type (passenger car, light utility, truck, trailer, machine ...)
- assignment site, if necessary for budget detail or for reporting purposes
- internal reference, if applicable
- name of the long-term rental company, if applicable
- contacts and addresses to whom to send green cards
Obviously, you can add any other information usually communicated (name of the driver, date of entry into service, fiscal power, fuel mode, etc.) and that you wish to see included in the fleet statements that we provide.
In order to allow you to distribute the 2021 green cards according to a schedule that suits you, we invite you to tell us when you send the date on which you wish to receive them. We also thank you for specifying the desired shipping methods (recipients of green cards with their addresses, sorting methods).
